OAuth Setup and Permission Scopes
Connecting Fathom to HubSpot takes under two minutes through Fathom's integrations dashboard. The connection requests standard OAuth permissions to read and write Contacts, Deals, Companies, and Engagement Tasks. Admins can configure team-wide sync rules or allow individual sales reps to manage their personal HubSpot associations.
02
Mapping Structured Call Summaries to Custom HubSpot Deal Fields
Rather than simply dumping full transcripts into HubSpot's activity timeline, Fathom allows revenue teams to map specific summary sections (such as Pain Points, Next Steps, and Buying Timeline) directly into custom HubSpot Deal properties. When a call ends, Fathom presents a 15-second review modal where the rep confirms the extracted fields before syncing.
03
Automatic Contact Creation and Domain Association
Fathom checks external meeting attendees against HubSpot's database. If an attendee's email matches an existing Contact, the call is automatically linked. If the contact does not exist, Fathom can automatically create the Contact and associate it with the corresponding Company record based on the email domain.
04
The Post-Call Execution Layer
While Fathom updates HubSpot deal properties seamlessly, customer calls also create downstream obligations: engineering bug reports in Jira, onboarding check-lists in Notion, and follow-up customer emails. Mindlyft extends Fathom by turning post-call transcripts into finished cross-system deliverables behind a 1-click human approval gate.

FAQ
Does Fathom create duplicate contacts in HubSpot?
No. Fathom uses strict email matching to verify whether a Contact already exists in HubSpot before creating a new record.
Can Fathom sync recordings to HubSpot custom objects?
Fathom natively syncs to Contacts, Companies, Deals, and Engagements. Syncing to custom objects requires using Fathom webhooks or an execution layer like Mindlyft.
