Zapier and n8n vs a done-for-you system

Zapier and n8n let you build automations yourself. A done-for-you system means someone else builds them and keeps them running. Here is how the two compare on price, upkeep, what breaks, approval before customer-facing sends, and the cost of your own hours.

01

What Zapier, n8n and a done-for-you system each are

Zapier is a hosted automation tool. You connect apps, pick a trigger and add actions, and each Zap runs on Zapier's servers. n8n does the same job with a visual workflow editor, and you can run it on n8n's cloud or host it yourself. n8n's docs say that without a license key, n8n runs as the free Community edition, which you install and run on your own server. Make is the third name people compare; its pricing page lists Free, Core, Pro, Teams and Enterprise plans and says the Free plan includes 1,000 credits a month, but we could not read its paid prices from the page, so check them there. A done-for-you system is different in kind. You are not buying software; you are paying someone to build the workflows for you and keep them running. Many of those providers build on Zapier, n8n or similar tools themselves. The real difference is who does the work.

02

What each costs today

Prices below were read from each vendor's pricing page on 2 November 2026. Zapier's Free plan is $0 with 100 tasks a month and two-step Zaps only. Professional starts at $19.99 a month billed annually, or $29.99 billed monthly, for 750 tasks, and adds multi-step Zaps; prices rise with task volume. Team starts at $69 a month billed annually for 2,000 tasks and includes 25 seats. Enterprise is priced by Zapier's sales team. n8n prices its cloud plans in euros and by workflow executions, not steps: Starter is 20 euros a month billed annually for 2,500 executions, Pro is 50 euros a month billed annually for 10,000, and Business is 667 euros a month billed annually for 40,000 and is self-hosted only. n8n says the annual option saves 17 percent. Done-for-you pricing varies widely. Mindlyft charges a flat fee per 4-week cycle: Acquire (everything before a customer signs) is $3,000, Expand (everything after) is $6,000, and both together are $7,000, with unlimited requests handled one at a time and no minimum term.

03

Who builds it, and who keeps it running

With Zapier or n8n, building is the easy part. A simple two-step Zap can take minutes. The harder question is who owns it afterwards. Someone has to watch for failed runs, update a workflow when a field is renamed in the CRM, and reconnect an app when its login expires. In a small company that is usually the founder or whoever built it, on top of their real job. With a done-for-you system, the provider owns that work for as long as you pay them. The trade-off is control: you wait for them instead of fixing it yourself, and you depend on them understanding your process. Ask any provider where the workflows live. Mindlyft's pricing page says the work lives in your accounts and keeps running if you leave.

04

What breaks, and how you find out

Automations rarely break because of the automation tool. They break because something around them changed: an app updates its API or renames a field, a connected account's password changes, an access token expires or is revoked, or a form adds a new option nobody mapped. Zapier's help center says expired or revoked access tokens cause 401 Unauthorized errors, and that a Zap turns itself off if 95 percent of its runs error over the last 7 days or if it errors repeatedly. Team accounts get a 24-hour grace period and Enterprise 72 hours. Zapier also offers autoreplay, which retries errored runs automatically, on Professional plans and up. The failures to worry about are the silent ones: a workflow that runs without error but writes the wrong value, skips a record that does not match a filter, or sends to the wrong contact. Neither tool can tell you that the result was wrong if the run technically succeeded. Someone has to check.

05

Approval before anything reaches a customer

Both tools can put a person in the loop, so this is not a reason to pick one over the other. Zapier's Human in the Loop app has a Request Approval action that asks someone to approve or change data before the Zap continues, and a Collect Data action that asks for more information mid-run, each with a timeout and a setting for what happens if nobody responds. n8n's docs say you can require human approval before an AI Agent executes a specific tool, apply that to all of the agent's tools or only some, and send the approval request to n8n Chat, Slack, Discord, Telegram, Microsoft Teams, Gmail, WhatsApp Business Cloud, Google Chat or Outlook. The catch is that you have to design and build those steps, and decide which actions need them. A done-for-you provider should do that for you. Mindlyft's pricing page says every customer-facing action waits for a person's approval and leaves a reversible receipt.

06

The total cost, including your own hours

The subscription is the smallest number in a do-it-yourself setup. Add the hours to design and build each workflow, the hours to test it against real records, and the hours each month to read error emails, fix broken steps and answer the question of why a customer got the wrong email. Multiply those hours by what an hour of your time is worth to the business. For two or three internal workflows that rarely change, the total stays small and do-it-yourself wins easily. For a dozen workflows that write to the CRM, open tickets and email customers, the maintenance hours grow with every app update, and a flat monthly fee for someone else to own them can cost less than the founder's time it replaces. Run the sum with your own numbers before deciding.

07

Where Mindlyft fits

Mindlyft is a done-for-you option for GTM workflows. We build the system on the tools you already use and keep it maintained. Pricing is flat per 4-week cycle: Acquire at $3,000 covers everything before a customer signs, Expand at $6,000 covers everything after, and both are $7,000. Requests are unlimited and worked one at a time, there is no minimum term, and the work lives in your accounts. 08

The verdict

Build it yourself in Zapier or n8n if you have a handful of simple, internal workflows and someone who is happy to own them. The tools are inexpensive, both can add human approval steps, and you keep full control. Choose a done-for-you system when your workflows touch customers and the CRM, when a silent failure would cost you a deal or a customer's trust, and when nobody on the team has time to own the upkeep. Whichever you choose, decide which actions need a person's sign-off before they run, and confirm current prices on each vendor's page before buying.

FAQ

Zapier vs n8n: which is cheaper?

It depends on volume and hosting. Zapier charges by tasks: Free covers 100 tasks a month and Professional starts at $19.99 a month billed annually for 750 tasks. n8n cloud charges by workflow executions regardless of steps: Starter is 20 euros a month billed annually for 2,500 executions. n8n can also be self-hosted as the free Community edition, but then you run the server. Prices checked 2 November 2026.

Zapier vs Make vs n8n: what is the difference?

All three connect apps and automate workflows. Zapier is hosted and no-code and prices by tasks. n8n prices its cloud plans by workflow executions and can be self-hosted. Make prices by credits and its Free plan includes 1,000 credits a month; check Make's pricing page for its paid plans.

Can Zapier or n8n ask for approval before sending an email?

Yes. Zapier's Human in the Loop app has a Request Approval step that asks someone to approve or change data before the Zap continues. n8n can require human approval before an AI Agent runs a chosen tool, with requests sent to Slack, Gmail, Teams and other channels. You have to build these steps into each workflow.

Why do Zapier automations stop working?

Usually because something outside the Zap changed: an app's API or fields, a password, or an expired access token, which Zapier says causes 401 errors. Zapier turns a Zap off if 95 percent of its runs error over 7 days or if it errors repeatedly.

Should I build my own automations or hire someone?

Build them yourself if you have a few simple internal workflows and someone to own them. Hire someone when the workflows touch customers and your CRM and nobody has time to maintain them. Count your own hours, not just the subscription.

How much does done-for-you automation cost?

It varies by provider and scope. Mindlyft charges a flat fee per 4-week cycle: $3,000 for Acquire, $6,000 for Expand, or $7,000 for both, with unlimited requests handled one at a time and no minimum term.
