What automating follow-ups actually means
There are three different jobs hiding under "automate follow-up emails", and they need different tools.
Wording: not retyping the same structure every time. Templates solve this.
Timing: the email goes out at the right moment, not when you remember. Scheduled send and reminders solve this.
Triggering: the follow-up gets started by an event (a call ended, a label was added, a form was submitted) without you opening a blank compose window. This needs either a Gmail filter or an automation tool.
Most teams only need the first two plus a draft trigger. Very few should automate the final send, for reasons covered further down.

The native options in Gmail
Templates. Gmail can save a message as a reusable template, but you have to turn the feature on first. On a computer, open Settings (the gear, then See all settings), go to the Advanced tab, enable Templates, and save. To create one, write the email in a compose window, open More options at the bottom, choose Templates, then Save draft as template. To use one, open More options, Templates, and pick it under Insert template. Google's help page is explicit that templates can only be turned on and used from Gmail on a computer, not in the mobile apps, and that a deleted template cannot be recovered.
Scheduled send. Write the email, click the down arrow next to Send, and choose Schedule send. Gmail allows up to 100 scheduled emails at a time, and a scheduled email that you cancel goes back to being a draft. This is the simplest way to handle a call that ends late in the buyer's day: write it now, deliver it at 8:30 their time.
Gemini's Help me write. In a new email, a reply, or an open draft, type a prompt into the Help me write bar and click Create; you can then refine the result with Formalize, Friendly, or Shorten. Google's help center lists Help me write for these Workspace editions: Business Starter, Business Standard, Business Plus, Enterprise Starter, Enterprise Standard, Enterprise Plus, and Frontline Plus. With a personal Google account it is available at no charge in the US only, and it is also included in the Google AI Plus, AI Pro, and AI Ultra plans. Availability can differ by country and admin settings, so check your own account before you plan around it.
Filters that send a template. Gmail filters have a Send template option: you set search criteria, click Create filter, tick Send template, and choose one. It works, and it is fully automatic, which is exactly why it suits acknowledgements ("got your form, we'll reply within a day") and not sales follow-ups. A filter cannot tell a buyer from a vendor who used the same subject line.
03
The native options in Outlook
Outlook has an equivalent for each Gmail feature, with slightly different names.
Templates. In new Outlook for Windows, start a new mail, go to the Message tab, and select My Templates. In the task pane, choose +Template, give it a title, enter the text, and save. Outlook on the web works the same way from New, Mail. Classic Outlook for Windows still uses .oft files: write the message, then File, Save As, and pick Outlook Template as the file type.
Scheduled send. In new Outlook and Outlook on the web, open the dropdown next to Send and select Schedule send; the message waits in Drafts until the delivery time. In classic Outlook, open Message Options, tick Do not deliver before under Delivery options, and set the time; the message waits in the Outbox, and Microsoft notes that Outlook needs to be online and connected for this to work.
Copilot. In new Outlook, start a new mail, select the Copilot icon, choose Draft with Copilot, type a prompt, and generate. You can regenerate, then select Keep and edit before sending. Microsoft's support page says Copilot in Outlook works with work or school accounts and with personal Microsoft accounts on outlook.com, hotmail.com, live.com, and msn.com addresses; Gmail, Yahoo, or iCloud accounts added to Outlook do not get Copilot features. Whether a work account has it depends on the licences your organisation has assigned, so check with your admin.
04
Automation tools: trigger, draft, send
Native features still need you to start each email. An automation tool removes that step. The pattern is the same in every tool: a trigger fires, a step builds the content, and an action either creates a draft or sends.
Zapier. Zapier's Gmail integration includes triggers such as New Labeled Email, New Email Matching Search, and New Starred Email, and actions including Create Draft, Create Draft Reply, Send Email, and Reply to Email. That means you can choose, step by step, whether your automation ends in a draft or a send. On Zapier's pricing page today, the Free plan includes 100 tasks a month and only two-step Zaps (one trigger, one action). The Professional plan starts at 750 tasks a month for $19.99 per month billed annually or $29.99 billed monthly, and allows multi-step Zaps. A two-step Zap is enough for "label a thread, get a draft reply"; adding an AI writing step or a CRM log needs more steps and therefore a paid plan.
Make. Make builds the same flows as visual scenarios. Its pricing page states that the Free plan includes 1,000 credits per month; the page we fetched did not show paid-plan prices, so check it directly before you compare costs.
Whichever tool you use, decide the last action deliberately. Create Draft Reply leaves a person in control. Send Email does not.

Why fully automatic follow-ups go wrong
Automatic sending is tempting because it removes the last click. That last click is also the only point where a human sees the email before the customer does. Three things go wrong often enough to matter.
Wrong recipient. A trigger keyed on a label or a subject line catches the wrong thread. The buyer's procurement contact gets the email meant for their champion, or a vendor gets a sales follow-up. In a thread with several people, "reply" and "reply all" are different emails.
Wrong promise. If the draft is generated from call notes, the model can turn "we might be able to do that next quarter" into "as promised, this will be ready next quarter". Once that is in the customer's inbox, it is a commitment your team now has to honour or retract.
Wrong tone. A cheerful template sent the day after a buyer raised a serious concern reads as if nobody listened. Templates do not know how the call went.
None of these are model quality problems that a better prompt fixes. They are control problems. The fix is to automate everything up to the send and keep a person on the send. We wrote about the difference between a person approving each action, watching a running system, and setting the rules in human in the loop vs on the loop vs in command; customer email is a clear in-the-loop case.

Set up a draft-then-approve follow-up in Gmail (no code)
This setup uses only Gmail features and a two-step Zap, so it runs on Zapier's Free plan. It produces a draft reply on the right thread every time you mark a conversation, and nothing is sent until you click Send.
Step 1. Turn on templates. In Gmail on a computer: Settings, See all settings, Advanced, enable Templates, Save Changes.
Step 2. Create a label called follow-up. In the left sidebar, under Labels, select Create new label, name it follow-up, and select Create.
Step 3. Save your base wording as a template. Use one of the templates from our follow-up email after a sales call guide, with the brackets left in. Compose it, then More options, Templates, Save draft as template.
Step 4. Build the Zap. In Zapier, create a Zap with the Gmail trigger New Labeled Email and choose the follow-up label. Add the Gmail action Create Draft Reply, map the thread from the trigger, and paste your template wording into the body. Test it on a thread you own.
Step 5. After each call, apply the follow-up label to the buyer's latest email thread. Within the Zap's polling interval, a draft reply appears in that thread and in your Drafts folder.
Step 6. Open the draft. Replace the brackets with what the buyer actually said and what you promised. If you have Help me write, select the draft text and use Shorten or Formalize, or prompt it with your call notes.
Step 7. Check the recipients, then click Send, or use the arrow next to Send and Schedule send for their morning.
Step 8. Log it. Remove the follow-up label so the thread does not trigger again, and record the next step and its date in your CRM. If you move to a paid Zapier plan, this log can be a third step in the same Zap.
In Outlook the same pattern works: Zapier's Microsoft Outlook integration has triggers such as New Flagged Email and New Message in Folder, and a Create Draft Reply action, so flagging the buyer's email can produce a draft reply you then finish and send with Schedule send.
07
Going further: drafting from the call itself
The setup above automates the trigger and the draft skeleton. The slow part is still yours: remembering what the buyer said and what you promised. The next step is to draft from the call transcript, so the recap uses the buyer's sentences, the promise is lifted from the moment you made it, and the next step comes from the end of the call.
The control model does not change. The draft lands in front of the rep with the transcript lines that justify each claim, the rep approves or edits, the email sends from their own account, and the sent message plus the next step are logged against the right CRM record. One click of approval is cheap. A wrong promise in a customer's inbox is not.

Where Mindlyft fits
Mindlyft is service as a software. Instead of handing you another tool to configure, we build each business its own system on top of what it already uses, such as Gmail, the CRM, a shared sheet, or the ticket queue, and we maintain it. Every write that reaches a customer or a system of record follows the same path: drafted, approved by a person, executed, and read back to confirm it landed. Follow-up emails are one of the first things teams hand over.

FAQ
Can Gmail automatically send follow-up emails?
Partly. A Gmail filter can automatically send a saved template to messages matching your search criteria, and scheduled send delivers an email at a set time. None of the Gmail features covered here sends a follow-up only when someone has not replied; for that you need an automation tool or an add-on.
How do I automate follow-up emails in Gmail for free?
Turn on templates in Settings, Advanced, then use a free Zapier account to build a two-step Zap: Gmail New Labeled Email as the trigger and Gmail Create Draft Reply as the action. Label a thread after a call and a draft reply appears for you to edit and send.
Which Google Workspace plans include Help me write in Gmail?
Google's help center lists Business Starter, Business Standard, Business Plus, Enterprise Starter, Enterprise Standard, Enterprise Plus, and Frontline Plus. Personal Google accounts get it at no charge in the US only, and it is included in Google AI Plus, AI Pro, and AI Ultra.
How do I automate follow-up emails in Outlook?
Save your wording with My Templates (new Outlook and Outlook on the web) or as an .oft file (classic Outlook), use Schedule send or Do not deliver before for timing, and use Draft with Copilot where your account supports it. For event-triggered drafts, connect Outlook to an automation tool.
Is it safe to send follow-up emails fully automatically?
For simple acknowledgements, yes. For sales and customer follow-ups, it is risky: triggers can catch the wrong thread, generated drafts can overstate what was promised, and templates cannot read the tone of the call. Automate the draft and keep a one-click human approval on the send.
What is the difference between Zapier's Create Draft Reply and Send Email actions?
Create Draft Reply puts a reply in the thread's Drafts for a person to review and send. Send Email sends immediately with no review. For anything a customer will read, end the Zap with a draft action.
